Where manual work costs more than it shows
Most teams know which tasks slow them down. The gap is between identifying the problem and building a reliable solution.
Repetitive work that cannot scale
Proposals, reports, document review, approvals — handled by hand because no one has built the alternative.
Prototypes that never reach production
Pilots run without a defined outcome. They prove the technology works, then stall.
Off-the-shelf tools that underperform
General AI tools produce useful output some of the time. Without business context, the results are inconsistent.
No clear path from idea to deployment
Strategy decks identify the opportunity. They do not answer how to build it, in what order, or at what cost.
Manual, repetitive, document-heavy work is where AI delivers results fastest.
The cost of not automating shows up in salary lines and missed capacity — not in a project budget.
Most organisations already know where inefficiencies exist. The challenge is building workflows teams actually use.
The 2-2-2-2 delivery model
A single structured path from the first conversation to a production AI system. Two free sessions to identify the right workflow. One paid sprint to prototype it. One production build to deploy it. You decide where to stop.
Stage 1
Workflow Discovery Session
2 hours · Free
We map your workflows — reporting, document review, approvals, onboarding, ticket triage — and identify two to three concrete automation opportunities. You leave with a ranked list and a clear next step.
Stage 2
Scoping Workshop
~2 hours · Free
Only needed when Stage 1 surfaces multiple strong options. We select one, define success criteria, and agree what the prototype delivers.
Stage 3
Prototype Sprint
~2 days · From €4,500
We build a working prototype on your real data. Not a slide deck — something that runs and delivers immediate value. Fixed price, defined output.
Stage 4
Production Build
~2 months · From €18,000
We engineer the prototype into a production system. Integrations, governance controls, documentation, and handover. You own what we build.
What changes operationally
- Working prototype within two days of starting paid work — tangible, testable, and ready to demonstrate internally
- Production-grade system in around two months — tested, integrated, documented, and owned by your team
- Measurable time savings from day one of deployment — not after months of change management
- Published pricing at each stage — you know what you are committing to before you commit

AI-powered workflows we build
We apply AI to workflows that are repetitive, document-heavy, or rule-based — replacing manual handling with AI-assisted operational systems.
- Document review and summarisation
- Report generation and formatting
- Contract and policy summarisation
- Proposal and offer drafting
- Approval routing and classification
- Purchase order and invoice matching
- Ticket triage and escalation routing
- Customer onboarding document checks
- Compliance evidence preparation
- Knowledge retrieval and internal search
- Content drafting with brand rules applied
- Data normalisation and quality checks
If work involves repetitive decisions, structured documents, or manual data handling — AI can automate it.

We do not sell AI services we have not built ourselves.
Every engagement starts from real production experience — not a methodology written for a generic client.
Why RixMind
- AI practitioners, not AI consultants. We build and operate AI systems, not strategy decks. ITAM, ITSM, and FinOps operational experience applied directly to AI workflow implementation.
- We build AI for ourselves first. Every AI workflow system we offer has run inside RixMind before becoming a client engagement. We sell what we operate.
- Transparent pricing. Published stage prices. You know what you are committing to before you commit to anything.
- Tool-agnostic. We recommend what fits — Claude, OpenAI, Azure OpenAI, open-source models, or hybrid setups. No vendor quota driving the advice.
- Concrete and time-boxed. Working prototype in two days. Production in around two months. Not a roadmap without a delivery date.

Frequently asked questions
How do I start?
Book the free Workflow Discovery Session. Two hours. No commitment.
What kinds of workflows are good starting points?
Document review, reporting, onboarding, approvals, and ticket triage are the most consistent starting points. Any process involving repetitive decisions, structured document handling, or manual data transfer is worth examining in Stage 1.
What if we want to stop after the prototype?
That is a valid endpoint. We hand over what was built. Many teams use Stage 3 to prove the case internally, then continue to production — either with us or in-house.
Will you use our data to train AI models?
No. We use commercial APIs with data-processing terms that do not include model training, or open-source models running in environments you control. ISO 27001 certified.
What technologies do you use?
Whichever fits your context — Claude, OpenAI, Azure OpenAI, open-source models, n8n, Make, Power Automate, or custom Python. No vendor quota driving the recommendation.
